How to Make Animation or Movies with Microsoft PowerPoint

Open PowerPoint and create a new presentation. Make a blank slide and set the transition to advance after 0 seconds. Click Apply to all.
Draw the first frame of your animation. this one is important - it is the frame that all of the other frames in this scene will be based on. Take your time with it.
Duplicate the slide, and make a very slight change in this slide for the progress of the animation. If you had a ball falling, make it go down one or two places. (Note: Powerpoint doesn’t use actual pixels, but a slightly larger placement system. Think of it as an invisible graph.)
Duplicate the new slide and keep going. For things like gravity, make the motion stronger each time, eg, changing it more and more. The most catastrophic thing is to make things go too fast,s o don’t be afraid to take a lot of slides to do one thing - you can always delete them later.
Preview your presentation constantly, changing anything you think needs to be changed. Erase unneeded slides and such, add or delete details until your presentation is perfect.

How to add music to your PowerPoint presentation

One of the most common PowerPoint questions that we get asked is how to add music to a presentation and how to get it to play across multiple slides.

Step 1. Download your music in MP3 or WAV format.

The best format to download songs in is in the MP3 format. This has the smallest file size. However there is one big problem with mp3 files - you can only link but not embed mp3 files into PowerPoint.

(This will not be possible if you are downloading music from the Apple iTunes service. If you have downloaded music from Apple iStore you will first need to convert them to mp3 format http://www.bpurcell.org/blog/index.cfm?mode=entry&entry=1036) You will also need to make sure that you have all of the copyright permissions and performing rights clearances to be able to store the music in your presentation.

Step 2. Insert the music in your PowerPoint presentation.

From the main menu Insert > Movies and Sounds > Sound from file

Then from the Files of Type drop down box select mp3 format.

You will then get a message about how you want the music to start

Step3 - Setting the music to play across multiple slides

A lot of people have asked if it is possible to keep the music playing across multiple slides- for example if you wanted to make a slide show of someone’s life with music playing in the background - or it could be a useful feature at a trade show.

You do this using a feature called Custom Animation. Select your music file then Right click (not the usual left click) and select Custom Animation. You can do this by selecting Slide Show > Custom Animation

How you do this depends upon which version of PowerPoint you are using.

For older versions of PowerPoint

Then select Multimedia Settings afterwards and make sure that you have selected While Playing >Continue Slide show You will then need to set the Stop Playing button and enter in the Stop Playing > After number slides the number of slides that you would like the music to play for.

If you are using PowerPoint XP the procedure is slightly different

Custom Animation > Right Click on Media and select Effect Options

You will then need to set the Stop Playing button and enter in the Stop Playing > After number slides the number of slides that you would like the music to play for.

Step 4. (Almost there). How to embed music in your presentation

The last gotcha in the process is that the music may not be embedded in your PowerPoint presentation. This means that is you save your presentation onto a CD or you are to email it, then the music may not automatically go across. It all depends upon the file size of the music.

If you want the music to be embedded in the presentation you will need to follow a couple of steps.

1. Make sure your music is in WAV format (mp3 files can only be linked and not embedded)
2. Increase the value in the Link sounds with file size greater than box to a value greater than the file size of the MP3 file. For example if the file size is 4.5MB then you will need to include a value higher than 4500. A good general purpose size that should incorporate most song files is 6000 as most mp3 files are less than 6MB. Be careful as some classical music tracks could be longer than this.

The only downside is that the file size of the final file could be quite large.

There is a 50 Mb limit for embedding WAV files. For eample if you had two WAV files of 34 MB the you will be able to embed them, but it would make your file size over 68MB.

5 Easy Ways to Improve Your Website

When designing your website, remember to avoid useless and confusing features, however “cool” they may seem to be. Usually, keeping things simple and consistent are the best way to go. Here are five easy ways to improve your website and make it more appealing to your visitors.

Put your logo on every page of your site, and in the same location. Usually, the best place to put it is in the upper left corner of the page. Remember to make your logo clickable, linking to the main page of your site (an exception is the logo of the main page itself, since you are already there). The benefit of doing so is that if your visitors get lost they can always come back to a familiar location.

Don’t use a splash screen. Splash screens are seen in many websites before they give you access to the main page. They are usually slow- loading Flash animations that only delay and frustrate users. Remember, when your users want animation, they can turn on the TV. When they go to your website, they usually want information, and they want it fast. Some sites that use splash screens now provide a “Skip the Introduction” link, which most users click anyway, further validating the uselessness of flash screens.

Avoid using heavy pictures. They unnecessarily delay the page upload process. It is OK to use graphics, but they have to be optimized for the web. Use only .gif and .jpg formats. If the pictures are too heavy, try using some of the on-line graphic optimizing tools. They can reduce the weight of your pictures by more than 50% with no noticeable decrease in quality. Another thing you can do is to use thumbnails (clickable miniature versions of a picture). If a user is interested in the picture, he can click on the thumbnail and wait until the full size picture is displayed.

Try not to use animated banners or fancy icons. Just because you can is not a good reason to load up your site with neon-colored, flashing- and-popping, Vegas-style graphics. They usually take away from the content of your site and distract users. Plus, it has been demonstrated that less and less users click on banners every day.

Don’t make your pages too long. People don’t like to read from a screen. Instead, try to use the advantages of hyperlinks to present a summary of the topic or article, with a link to the full article in another page (similar to what newspapers do in their main page, with the added benefit for web users that it is easier to click on a link than to turn a page). If what you have to say is too long, break the discussion in several parts, each of them with a link to where your visitor can continue reading.

Remember, the goal is to give your visitors fast access to your information, through an interface (website) that is visually appealing and easy to use.

If you’re making a PowerPoint presentation that you intend to distribute to lots of different people, here are some important things to watch out for that will cause problems:

Stick with the fonts that come installed with Windows; Fancy fonts that appear on your machine will cause problems if everyone else doesn’t have them.
Avoid embedding sounds and videos: these will not go from Mac to Windows gracefully, and you have to be very careful about how you insert the files in order to get them to “travel” properly.

The most common cause of large files is the addition of large bitmaps. PowerPoint 97 compresses these bitmaps, but previous versions do not. To keep your presentations as small as you can, try reducing the resolution of your bitmaps, which will bring your size down tremendously. For viewing on screen, the bitmaps don’t need to be more than 96 dpi; they won’t print nicely until they’re up around 150 or higher, but the screen always displays at 96 dpi, so if the primary viewing medium is the screen, there’s no point in having the bitmaps be a higher resolution. Also, the bitmap format can make a big difference to your file sizes. JPEG and PNG both have good internal compression code. GIF has some, but not as good as JPEG. BMP files are the largest; TIFF files will also be very large.

If you like to customize your UI, move toolbars around, configure toolbars, etc, then you’ll want to know that all this information is stored in c:\windows\application data\microsoft\powerpoint\ppt.pcb
By copying this file, you can move your customizations to other machines.

Displaying Keyboard Shortcuts in Tool Tips:-
If you’d like to see the available keyboard shortcuts for menus, commands, and toolbar buttons, go to Tools/Customize, click on the Options tab, and click on “show shortcut keys in screen tips”.

Preview Fonts in the Toolbar:-
If you’d like to see previews of the actual fonts in the font selection of the formatting toolbar, go to Tools/Customize, click on the Options tab, and click “List font names in their font”, click Close.

Making Auto-Fit Text Stop Auto-Fitting:-

Making Slides Print Correctly:-
PowerPoint has certain defaults to determine how it prints each object on the page. You can see over-ride these defaults. Go to View/Black and White; this will show you a gray-scale preview of how your slide will print. To change the print settings for any given object, right-click on it, then click “Black and White”, and then choose the appropriate print option for that object. Master objects can be selected by going to the Master page View.

Preview Slide Show Effects:-
While editing a presentation, hold down the CTRL key while clicking the slide show view button; this will open a tiny preview window showing that slide in slide show mode.

Setting the Default Text Style:-
If you want to change the style of the text that appears when you type things that aren’t the title or the slide body, do the following:
* Make sure no objects are selected.
* From the Format menu, select Font. Make all the changes that you want there, and click OK.
* From that point on, new text will be created in that style.
* To set the formatting for the title or slide body objects, go to the Slide
Master and format these objects on the masters.

Selecting Small Objects:-
Hit the ESCAPE key to insure that nothing is current selected, then repeatedly hit the TAB key, which will toggle you through a selection of all of the objects on a slide. This is useful for selecting very small objects, or objects that are covered up by other larger objects.

Editing Drawings:-
Anything you draw with the pencil tool, you can edit. To get the object into “points mode”, either double-click on the object, or select it then hit the Enter key. You will then see points at every vertex, which you can move. You can add points by holding down the shift key and clicking, you can subtract points by holding down the ALT key while clicking and you can of course just drag points around.

Easily Changing from Caps to Lower Case (or Vice Versa):-
If you have text that is in the wrong case, select the text, and then click Shift+F3 until it changes to the case style that you like. Clicking Shift+F3 toggles the text case between ALL CAPS, lower case, and Initial Capital styles. You’ll be surprised how often you use this once you get the hang of it.!

Open PowerPoint and choose File|New. The New Presentation task pane appears. Click the Blank presentation option.
Choose View|Master | Slide Master. Choose Insert|New Title Master. You see two slide previews in left pane. Both previews are linked through a connector. The top preview represents the slide master and the bottom preview represents the title master. Any elements you place within these masters show up on all of the slides based on them. The title layout slides are based on a title master. All of the other slide layouts are influenced by the slide master. (PowerPoint has more than 26 slide layouts, which you find in the Slide Layout task pane.)
Click the Slide Master preview to view your Slide Master in edit mode. First, you need to add a background to the entire slide. Choose Format|Background. In the Background dialog box, click the downward pointing arrow and click Fill Effects.
In the Fill Effects dialog box, click the Picture tab and then click the ‘Select Picture’ button. Navigate to the location on your hard disk where you stored the downloaded backgrounds. Choose the 007b.jpg image and click Insert. Now click OK and then Apply.
Click the Title Master preview in the left pane to view your Title Master in edit mode. Follow the same steps (number 3 and 4) as you used to add a background to the Slide Master, except this time choose the 007a.jpg image.
Now you have a template that contains both Title and Slide Masters, so it’s a good time to save it. To save your template, choose File|Save As. From the Save as type drop-down box, click Design Template (*.pot).
Choose Format|Slide Design to activate the Slide Design task pane. On the top of the task pane, click the Color Schemes option.
You can now apply an existing color scheme or choose to edit/create a new color scheme to your template. To edit/create a color scheme, click the Edit Color Schemes option at the bottom of the task pane.
In the Edit Color Scheme dialog box, you can change the colors of individual elements. Remember that your text and line colors should contrast with your background color and backgrounds you inserted. Because you have a dark green picture background, select black as the background color and choose white for the text and lines. I left the shadow color unaltered at grey. Similarly, change the fills, accent, accent and hyperlink and the followed hyperlink colors. Remember that by default these four color choices are also the colors that are used for any chart you create within your presentation. When you are happy with your choices, click the Apply button. Choose File|Save (or press Ctrl+S) to resave your template.
Now, you can modify the text in your template. You can change font sizes and styles although it is best not to change the individual size proportions. Instead, select the entire text in a slide and click the Increase Font Size and Decrease Font Size buttons on the Formatting toolbar.
Now, deselect all of the text and choose the same font you selected for the text placeholders. By selecting a font with no placeholders selected, all new textboxes will use the same font style by default. Now resave your template by pressing Ctrl+S.
Click the Close Master View button in the floating Slide Master View toolbar to return to Normal View.
Resave your template. Your finished template is now ready to be used for new and existing presentations.
